Background: <br />Committee Action: <br />Based on discussion <br />02/19/08 <br />REVIEW OF MAILBOX REPLACEMENT POLICY <br />By Grant Riemer, Public Works Street Supervisor <br />The current mailbox replacement policy reads as follows: <br />Mailboxes installed and maintained to City U.S. Post Office regulations which are <br />damaged as a result of direct contact by City snow removal equipment will be <br />temporarily repaired within 48 hours of receiving notification of such damage. If the <br />mailbox cannot be temporarily repaired, a portable mailbox will be set in place so <br />mail service will be continued. The City will replace the damaged mailbox structure <br />the following spring with a standard No 1 black, white, or silver mailbox mounted on <br />4 -by 4 -inch treated post. <br />Residents whose mailboxes are knocked down as a result of direct contact by <br />City snow removal equipment may request $75 allowances, if they so choose, to <br />replace the mailbox structures themselves, relieving the City of any further <br />obligation. In such cases, the City will provide portable, temporary mailboxes until <br />the following spring. <br />Mailboxes, which are not installed to City and U.S. Post Office regulations or <br />are damaged due to snow deposited from plows (versus being hit by City snow <br />removal equipment), will not be replaced. The City is not responsible for damage to <br />media or paper boxes and will not repair them. <br />The above policy only covers single mailbox installations and does not cover <br />multiple mailboxes on the same post(s). This winter such a mailbox installation was <br />damaged and the resident feels he should be able to claim $225.00 dollars ($75.00x3) <br />in damages because the installation contained 3 mailboxes. Staff has met with the <br />resident and explained the current policy and informed him we would bring this <br />matter to the Public Works Committee for review. The resident with the original <br />request will be notified of the meeting if he would like to attend. Pictures of the <br />damaged mail box and similar mailbox structures throughout the City will be <br />available at the meeting. <br />Options: <br />1. Leave the policy as it reads now. Staff will be recommending this option. <br />2. Introduce a graduated scale for the repair of multiple mailbox installations. <br />The scale would work as follows: $75.00 for the first mailbox and then a .25 <br />multiplier for the additional mailboxes up to a total of 4 mailboxes so the <br />maximum claim would be $150.00. The money would be divided between the <br />residents equally. <br />Reviewed by: <br />Public Works Director /Principal City Engineer <br />
