<br />Response <br /> <br />All detections or suspicious red flags shall be reported to the City's senior management official <br />or committee member. Notification oflaw enforcement will be completed after the facts are <br />obtained. No requested action will be taken on the account until the matter is resolved. <br /> <br />If the police investigation determines fraudulent activity, the utilities department will be <br />directed to shut off the water supply. <br /> <br />Personal Information Security Procedures: <br /> <br />The City of Ramsey Utility adopts the following security procedures: <br /> <br />The protection of the ACH file sent encrypted from.OPUS21 via email to the City will be <br />stored on the network server under the Assistant Finance Officers log-in. This limits <br />access to the Assistant Finance Officer a:ndadministrator~ That file will be directly <br />uploaded to the bank via the bank's website. Files will be deleted after one year. <br />I <br /> <br />When residents come to the City of Ramsey Municipal Center to return completed ACH <br />information, the City employee will ask them to place it in an envelope addressed to <br />OPUS21 and seal it directly. Therefore, no bank information will be seen by City <br />employees. When checks are received by the residents at the City Hall, they will be <br />placed in an envelope and locked securely at night until forwarded on to OPUS21 via US <br />Mail. <br /> <br />The City of Ramsey expects OPUS21 to adhere to all Red Flag policies established and <br />agreed upon by the City. In addition we expect them to follow security procedures <br />Outlined in Appendix A as a good management practice to protect personal data. <br /> <br />Identitv Theft Prevention Program Review and Approval <br /> <br />This plan has been reviewed and adopted by the Senior Management ~taffPerson. <br /> <br />Appropriate employees have been trained on the contents and procedures of this <br />Identity Theft Prevention Program. <br /> <br />A periodic review will be done to determine the effectiveness of the policies and <br />procedures. <br /> <br />Signature: <br />Kurt Ulrich, City Administrator <br /> <br />Date: <br /> <br />City of Ramsey - Utility Billing <br /> <br />Page 4 of7 <br /> <br />.. -'103- <br />
