CASE# \a

DECLARE CERTAIN CITY VEHICLES AS EXCESS
AND AUTHORIZE THE USE OF FLEET FUNDS TO
PURCHASE REPLACEMENT BUILDING MAINTENANCE TRUCK
By: Dan Bray, Building Maintenance Supervisor

Background:

Staffhas reviewed the fleet of City vehicles and is requesting Council declare two (2) vehicles as
excess inventory to be sold at the auction. The City currently has a fleet account with
Minneapolis Auto Auction for the sale of City vehicles. The two vehicles are listed below:

Unit #312
Unit #382

1997 Dodge Ram VIN:1B7HF13Z7VJ613543 Mileage 125,754
2008 Ford Crown Victoria VIN:2FAFP71V58X102759 Mileage 63,377

Unit #382 is an old squad, which caught fire during a chase and some of the electrical wiring was
burned so it was removed from the police fleet to prevent any other electrical issues down the
road. City staff has no use for this extra vehicle at this time.

Unit #312, the current Building Maintenance truck, is a 1997 Dodge Ram that was acquired from
the Ramsey Police Department as a "hand me down" in 2005. The truck had been used by the
Police Department as a squad and took some heavy abuse. The vehicle's mileage is 125,754 and
there have been many maintenance issues recently, with the most current being the rear axle.
The estimated cost of repairs is $1500; the total value of the truck is approximately $3,000.
Building Maintenance staff relies heavily on this vehicle for use in everyday activities; therefore,
staff feels it is necessary to repair or replace the vehicle. The replacement vehicle could also be
used by the Police Department in an emergency or inclement winter driving conditions.

Staff is proposing to declare these two (2) vehicles as surplus and to replace unit #312.

Funding Source:

Funding to replace unit #312 could be from the fleet account, which has an approximate balance
of $29,000 plus the proceeds from the sale of the two vehicles. The replacement truck would be
a 2010 Ford F250, purchased under the State contract, at a price of $22,720 plus tax and license
fees. A resolution is attached for Council consideration declaring the two vehicles as excess
property and authorizing the replacement of the maintenance truck.

Staff Recommendation:

Staff is recommending Council declare the vehicles excess and authorizing the replacement of
the maintenance truck.
