CASE 9 8 <br />Authorization to Enter into a Contract for Newsletter Ad Sales, Newsletter Re -Design, and <br />Newsletter Printing Services <br />By: Jessica Hendricks, Management Intern <br />Background: <br />On June 2, 2009 City Council directed staff to pursue a redesign of the City Newsletter, the <br />Ramsey Resident. The new Ramsey Resident will be a four-color, glossy newsletter, with space <br />available for advertisements. <br />At that time, a proposal for the sale of ad space by Scott Robinson of Youth First Marketing was <br />reviewed by the Council. Scott Robinson submitted a draft contract which was reviewed by the <br />Council at the Council Work Session on August 11, 2009. <br />Staff solicited new designs of the newsletters in a contest format, where the designers were told <br />that they would be paid for their redesign if it was selected by the City Council as the new image <br />for the newsletter. Three proposed designs were reviewed with the Council at the Council Work <br />Session on August 11, 2009. Two of those designs were selected for further. consideration. <br />In the process of the newsletter redesign, printing companies were asked to provide a quote for <br />the cost of printing the newsletter on four-color glossy paper, including the cost for sorting and <br />delivering the finished product to the post office. These quotes were also reviewed with Council <br />at the Council Work Session in August 11, 2009. <br />Funding Source: <br />There is no cost to the City for the sale of ad space in the proposed Ramsey Resident. In the <br />proposed contract for ad sales, Youth First Marketing and the City of Ramsey will share in the <br />profits generated by sales. <br />The cost for printing of the redesigned newsletter has already been budgeted for in the General <br />Operations fund. <br />The redesign of the newsletter will be offset by the revenue generated from the sale of ad space. <br />Attachments: <br />Contract for ad sales from Youth First Marketing <br />Two newsletter redesigns <br />Summary sheet of redesign costs <br />Summary sheet of printing quotes <br />Recommendation: <br />
