Hendricks, Management Intern

Background:

As Council will recall, Anoka County's current lease for. the license center operations at their
location on Highway #10 will expire onJune 30, 2010. Staffhas presented County Representatives
with the final Letter of Intent (LOI). The Letter of Intent will be presented to the County on
December 4,2009.

To accommodate the lease of the office space, staff distributed a Request for Proposals (RFP) for
Architectural and Construction Management Services on Wednesday, October 28. The RFP was
posted on the League of Minnesota Cities website, as well as the City of Ramsey's website. The
deadline for proposals was Friday, November 13,2009 at 4:30 p.m.

Six (6) proposals were received by the City. These proposals, along with a summary sheet have
been attached for Council review.

The project will cover remodeling of approximately 2,200 square feet of office space for the Anoka
County License Center, and a mid-size conference room for City use. The City will contract
directly with each contractor; however the City expects that the selected firm will provide project
management services for estimating, scheduling, bidding, and construction coordination. The
architectural and construction management firm is also expected to provide an architectural floor
plan and finish schedule to match existing finishes in the Municipal Center. The selected firm will
also be expected to coordinate with City and County representatives for design of the space, to
coordinate with City representatives for relocation of staff, and to coordinate with City
representatives for system furniture.

Funding Source:

Funding for the architectural and construction management services would be funded from the
funds left in the Municipal Center Construction Fund, which has a balance of approximately
$31,000. Additional funding required could be allocated from the Facilities Construction Fund,
which has an approximate balance of $43,000.

Recommendation:

Authorize staff to enter into a contract with selected architecture firm based on Council discussion.

Council Action:

Motion by City Council to adopt resolution 09-12-_ authorizing staff to enter into a contract
with the selected architecture firm.
