,-:::.:~'~-.}="..:::o-..:~-~ ~-,:;-'-'-.:.~-~c,

CASE # 2

2010 ENVIRONMENTAL EXPO
By: Chris Anderson, Environmental Coordinator

Background:

One charge of the Environmental Policy Board is to promote public outreach and education
regarding environmental issues. The Environmental Expo & Tree Sale provides a great
opportunity for the Board to reach out to the community and provide access to meaningful and
educational information. Per the discussion at the December, 2009-meeting, the Board agreed to
take a more prominent role in planning this community event. The following areas are where
assistance from the Board would be most beneficial: -
. Exhibitors-identifying and/or contacting yompanies, agencies, organizations, etc that
would be appropriate to invite to the expo event.
. Seminars/Speakers-identifying and/or contacting relevant environmental topics and
potential speakers and/or presenters.
. Activities~identifying activities and other offerings that will attract and entertain persons
of all ages.
. Sponsorship-identifying and seeking out businesses/organizations that may have an
interest in getting involved with the event either directly or through donations of some
soit (food, door prizes, etc).

Staff will continue to explore options for the tree sale component (one vendor has preliminarily
expressed interest in participating again this year) and will work on promoting the event through
available channels (i.e. newsletter, utility bill insert, chamber newsletter, QCTV, the web site,
etc). The likely date of the 2010 Expo event will be May 1, 2010. The event will likely be
coupled with the Business Expo again this year to capitalize on joint marketing and promotion
benefits.

Due to the previous uncertainty of whether this community event would receive funding for 2010
or not, time is now of the essence. One of the main advertising/marketing tools used to let the
residents know about the event is the Ramsey Resident newsletter. The deadline for
articles/advertisements to be submitted for the Marchi April issue will be around the first week of
February. Any seminars and/or speakers that will be participating in the expo event, as well as
any activities or other 'draws' to the event, should be announced in tl1at newsletter.

EPB Action

Based on discussion.

EPB: 1/4/10
