~5
CITY COUNCIL WORK SESSION
Topic Report: Discuss Procedure for
Maintaining a Contractors List
By: Tim Himmer, City Engineer
Background:
It was requested of staff to review and discuss the procedure utilized for selecting and maintaining a
contractors list for various City activities. The engineering department currently maintains a
contractors list for two categories; emergency management, and demolition infrastructure. The lists
initially began with local companies that staff had built a relationship with over time as having
delivered timely quality work. Over the years other contractors have approached staff to inquire about
being added to the list for consideration on future projects.
As it relates to situations that don't require immediate action staff is always willing to include
additional resources for this work. Once a contractor requests being added to the list they are vetted by
staff and if all checks out O.K. they are included on the list of approved contractors. When they are
solicited to provide a quote for a project and they fail to respond two consecutive times they are
removed from the list, as they are considered unresponsive or are no longer in business. As it relates to
the emergency management plans time is of the essence and there is little room for outsourcing this
work to contractors outside of the immediate area.
Staff will be available to discuss this process and address any questions or comments you may have
related to our approach.
Action Statement:
Based upon discussion
Attachments:
Current Contractor Lists
Reviewed by:
Duector ofl'ublic Wor cipal Ci nguieer
~~ City Admnustrator ~~-~---
CCWS: 5/11/10
