B. Review Procedures <br />Any department wishing to create, modify, or remove a new social media presence must <br />initially submit a request to the City of Ramsey's webmaster for the City of Ramsey's web <br />site. This will initiate a process to ensure that the City's array of sanctioned social media <br />accounts are kept to a sustainable number, policies are followed, and the City's Internet - <br />based communication strategy is appropriately maintained. <br />At minimum, the social media web site requests must contain the following information: <br />• the subject; <br />• whether the request is an addition, modification, or deletion of a social media <br />resource or its contents; <br />• an introductory paragraph explaining the purpose and/or scope, including (as <br />applicable) changes to the purpose and contents of existing social media; <br />• a draft version of the page which incorporates the general standards as identified in <br />Section VI.A herein; <br />• expected frequency of updates; <br />• the target audients; <br />• desire to accept comments; <br />• comment justification, if applicable; <br />• the author(s); <br />• the moderator(s); and <br />• signature of the requesting department's director indicating approval of the request. <br />Formal action on the request will be determined by the City Administrator or his designee. <br />C. Guidelines for Personal Communications <br />It is important to remember that the personal communications of employees and others who <br />serve the City of Ramsey may reflect on the City, especially when commenting on City <br />business. The following guidelines apply to personal communications, including various <br />forms of social media. <br />• Remember that what is written is public, and will become a matter of public record. <br />It may also be spread to larger audiences. <br />• The City of Ramsey expects its employees and those that serve it to be truthful, <br />courteous and respectful. <br />• If something is published using a personal account and relating to City business, it <br />should be accompanied by a disclaimer that identifies the source as an employee or <br />otherwise associated with the City. <br />• Personal social media account names should not be tied to the City (e.g. RamseyCop). <br />VII. Exceptions /Change <br />This policy supersedes all previous policies covering the same or similar topics. Any <br />exception to this policy may be granted only by the City Administrator. This policy may be <br />reviewed and changed at any time. <br />
