-256- <br /> <br />CASE # <br /> <br />REVIEW .6aND APPROVE THE BID FROM GOVDOCS.COtM TO PROVIDE <br />INTERNET ACCESS AdND DELIVERY SERVICE OF THE CITY'S <br /> PUBLIC DOCUMENTS TO CITIZENS. <br /> Kim Moore-Sykes, Assistant City Administrator <br /> <br />Background: GovDocs. Com is a company that offers an internet-based document access and delivery <br />system for public agencies and their documents. Their service allows Internet users the ability to have <br />access to public documents that are of an interest to them. GovDocs. Com offers users search capability, <br />subscriptions to recurring documents, renewal notices for licenses or permits, and notifications of changes <br />to regulations or other documents. GovDocs. Com does not design web pages or sites. They simply use <br />logos submitted to them for the City's document access site and link to the City's own web site. <br /> <br />Observations: Zach Stabenow, GovDocs. Com, did a presentation to Council and Staff on January 16, <br />2001, where he demonstrated the web site and its capabilities. He indicated that GovDocs. Com is a new <br />company and they are in the process of speaking with several cities. Mr. Stabenow reported that the Cities <br />of St. Paul and South St. Paul are clients and he is currently working with the City of Northfield. <br /> <br />Based on information provided by Staff, GovDocs. Com was able to put together an estimate of the cost of <br />providing document delivery service for the City of Ramsey. GovDocs.Com proposes to assign an account <br />manager for ongoing maintenance and updates to the City. Phone support is available to City Staff during <br />regular business hours and e-mail support is also available with a 2-hour response time, again during <br />regular business hours. <br /> <br />The term of the contract is 12 months and will renew automatically for another consecutive 12-month <br />period if no notice is given. The service can be cancelled with a 30 days written notice. <br /> <br />Fe.¢s: <br />Initial Setup Total $9,421 <br /> <br />Conversion of 38 total documents (max. 1000 <br />pages.) <br /> <br />Monthly Fee $ 992 <br /> <br />Document hosting, data transfer, database and <br />content management. <br /> <br />Committee Action: <br />Recommend that the City Council approve the bid with GovDocs.Com <br /> <br />Reviewed by: <br />City Administrator <br /> <br />Attachments: <br />1.
