I <br /> I <br /> I <br /> I <br /> I <br /> I <br /> I <br /> I <br /> I <br /> I <br />I <br />I <br />I <br />I <br />! <br />I <br />I <br />I <br /> <br />PC CASE <br /> <br />AUTHORIZE PROCESS TO HIRE A FULL-TIME PUBLIC WORKS <br />SECRETARY <br /> Rhonda Heryla, Human Resources Manager <br /> <br />Background: <br />With the addition of a City Engineer and the resignations of two secretaries, Colleen <br />Rybak and Joanne Kusler, staff has determined additional clerical and secretarial help is <br />needed in the Public Works and Engineering departments. <br /> <br />A Public Works Secretary would greatly help the Public Works and Engineering <br />departments to accomplish several things. First of all, by providing clerical and <br />secretarial support to the City Engineers, Director of Public Works, and Public Works <br />supervisors, the employees of this department will spend more time focusing on City <br />projects requiring their attention and expertise and less time on administrative duties <br />better handled by a secretary. Secondly, the amount of clerical work generated by the <br />department will increase with the addition of a second City Engineer and having a <br />dedicated Public Works secretary makes sense for keeping 'projects and communication <br />moving efficiently and on time. Thirdly, the secretary can assist in tracking projects and <br />ensuring timely delivery of notices and mailings in addition to managing the records and <br />files of the departments. <br /> <br />The City Public Works and Engineering departments are in great demand and will <br />continue to be in demand as the City grows and more citizens move into the community. <br />The Public Works and Engineering departments have a need 'for additional organization, <br />administration, and coordination beyond what the current level of Administrative <br />Services can provide. <br /> <br />Staff Recommendation: <br />Staff is recommending that the Council authorize the process to recruit and hire a Public <br />Works Secretary to work in an administrative support role for both Public Works and <br />Engineering. <br /> <br />Committee Action: <br />Motion to recommend that City Council authorize the process to recruit and hire a Public <br />Works Secretary to work in an administrative support role for both Public Works and <br />Engineering. <br /> <br />Reviewed by: <br />City Administrator <br />Assistant City Administrator <br />Director of Public Works <br /> <br />Copies also distributed to: <br /> <br />PC: 5/23/00 <br /> <br /> <br />
