POLICE DEPARTMENT FURNITURE PURCHASE
By: Ryan R. Schroeder, City Administrator

Background:

As part of the Police office building project, Council has set aside $22,727 for the purchase of
furniture. Council has also set aside additional funds in 1996 to purchase furnishings within
Community Development, Administrative Services and Finance. To date we have been
interviewing vendors for purchase of furnishings for the PD given the time constraints of the
construction budget (causing a date certain at which time the furniture must be delivered).

It has been mentioned in the past that the existing furniture budget is not sufficient to outfit the
entire building. However, there are also spaces within the building that are built primarily for
future use (such as the community policing office). Further, it has been contemplated by staff that
we would attempt tO complete the furnishing of the building within the 1997 budget.

Police department and Administrative Services staff have conducted site visits in order to compare
the furnishings provided by Facility Systems and TAB office products. Each of these companies
provide for purchaging from joint purchasing contracts. The furnishings which seem to have made
the most favorable impression is Facility Systems. Iqowever, the file systems are of better quality
from TAB products. The most competitive seating company is OEB, Inc. from which we have
purchased the office chairs within City Iqall.

In order to totally outfit the PD, the cost is $31,110. In order to stay within the current budget, we
are proposing deleting furnishings for the training, conference and sergeants office (the
investigators office provides for two office spaces). Each item was competitively quoted.

The recommended purchases, pursuant to the above and the attached, are as follows:

Work Stations from Facility Systems
Chairs from OEB (12)
Files/17 Lockers from TAB products

$11,609
$ 2,534
$ 7,590

The above leaves a contingency of $995, which we request authorization to utilize to purchase
miscellaneous furniture items as the department deems appropriate (an example is locker benches
which are excluded from the above) but price for which quotes have not yet been received.
Council Action: ,6] ~3 tut~h !izi~n/~. ·
Motion to adopt Resolution #964)8- -~ o g t epu chase of furniture for the Police
Department Facilities.

Reviewed by:

City Administrator
Police Chief
Police Sergeant
Finance Officer

CC: 08/13/96

/jmt
