CC Regular Session 5. 7. <br />Meeting Date: 08/23/2011 <br />By: Patrick Brama, Administrative Services <br />Title: <br />Council Dias --bid selection <br />Background: <br />City staff was made aware of two issues that council members have with the council dias (the desk the council <br />members sit at inside the council chambers). <br />• Issue 1: This is in regard to the low visibility of council members from the audience due to the frontal/facade <br />height of the council desk. <br />• Issue2: This is in regard to the insufficient leg space that the council desk provides; which may not allow council <br />members sufficient leg/knee clearance. <br />In an attempt to address both issues stated above, city staff presented contractor bids on two separate possible <br />alterations to the dias on July 12 at a City Council work session. <br />• Option 1: lower the desk facade/front by 3 inches. <br />(Establish better visibility of council members) <br />• Option 2: raise the desk platform by 2 inches. <br />(Establish more clearance for legs/knees) <br />Observations: <br />After discussion in a City Council work session on July 12, staff recieved direction to get final bids on option #1 <br />(dropping the desk facade by 3"). <br />If the desk top is dropped the tops of the computer monitors will be exposed. Staff has also provided a remedy for <br />that problem: a LCD wall mount. This mount would allow monitors to be dropped about 3 inches. NOTE: the old <br />fixed mounts do not allow you do drop the height of monitors. <br />Again, based on input from the City Council work session, staff will install these wall mounts in conjunction with <br />dropping the facade of the desk by 3". <br />Attached to this case is a report. In the report is a visual depiction of the two options referred to above. Also <br />included are the bids from three contractors. <br />Recommendation: <br />Staff recommends that TimberCreek is selected as the contractor for this project. Some of the major reasons for the <br />recommendation of TimberCreek: <br />• Will take the most precaution with respecting and preventing damage to their environment (chamber dias) <br />• Will not need to add a piece of trim because they can make the original cut (reduction in bid price by $480, <br />$1,800 final) <br />• Has taken the most time to understand the job; and has taken into account the complexity of the desk <br />• Will take the most time to prep and clean the site <br />• Will reduce their bid amount if the job goes quick (i.e. if it takes them less time than they expect they will charge <br />less) <br />
