I would like to be able to mail or distribute the RFP's by November 1, 1994, with the return to be
by December 1, t994. This gives adequate time to analyze the proposals before the end of the
year. t would also like to be able to award the bid by no later than the end of January, 1995. This
should allow for all of the necessary preliminary work, would accommodate a couple of months of
paralleling activity and would provide for going live on the new system by July 1, 1995. The ideal
time to go live is at the beginning of a quarter. If the schedule does not progress as anticipated, I
would not go fully live until the beginning of the next quarter, or September 1, 1995. This
schedule holds true for mainly the financial part of the system. The networking and installation of
a police system would occur basically simultaneously with the installation and implementation of
the financial system.

Staff Recommendation:

Staff recommends Committee :lpproval of the distribution of RFP's for the acquisinon
software/hardware.

of computer

Committee Action:

Motion to recommend Council approve the distribution of RFP's for the acquisition of computer
software/hard ware.

Review Checklist:

City Administrator
Finance Officer

Copies also distributed to:

Computer Committee
Mary Gomez, Accounting Supervisor
Jeff Arneson, Police Officer
Kathy Johnson, Network Support
Jim Gromberg Economic Dev.
