inspection/building questions received from visitors or callers. Processes <br />the Park and Recreation Commission agenda. Maintains records of the <br />Oak Wilt grant program. Also maintains the mailing list and mails the <br />Ramsey Resident to 80 non-bulk addresses. <br /> <br />#4: Tracks Engineering projects. Prepares the Planning Commission <br />agenda. Updates address maps. Handles public hearing notices. Performs <br />GIS searches. Handles all correspondence related to the development <br />projects. Also handles special assessment mailing. <br /> <br /> #5: Is part-time. Is the main trouble shooter for management <br /> information (computer) problems. Types the articles and does the <br /> computer layout for the Ramsey Resident. Maintains database of Fire <br /> Department training records. Orders supplies and monitors inventory. <br /> Arranges routing maintenance and repairs of office equipment. Schedules <br /> use of the community sign. Also is the lead person for telephone <br /> problems, changes and installation. <br /> <br />Four of the five employees have enough tenure to receive three weeks of vacation each <br />year. The Deputy City Clerk accumulates overtime pay or compensatory time on a <br />regular basis. <br /> <br />Changes in the organization have resulted in more activity: <br /> New City Administrator who requires more clerical support. <br /> New Community Development Director. <br /> New Community Development Assistant who is now doing code enforcement <br /> and requires clerical support for notices, letters, etc. <br /> <br />Given the level of ongoing activity, some needs are simply not addressed: <br /> Managing records for easy retrieval. <br /> Updating the City Code. <br /> Updating and distributing the policy manual. <br /> Proofreading all documents before they leave the office. <br /> <br />Public Works Maintenance <br /> <br />Current staff of eight (including two supervisors) falls short of handling current work <br />load during the majority of the year. Future service requirements by the growing City of <br />Ramsey will include: <br /> -- Twelve month park/trail continuing maintenance requirements to maintain <br /> condition rather than have degradation. <br /> -- As infrastructure grows, number of inspections will continue to increase. <br /> -- More ongoing repairs to water and sewer services as they age. <br /> -- Storm water management, including inspections and repairs, will be an <br /> ongoing effort as new developments appear.
