P48 <br /> <br />Case #16: <br /> <br />Request Authorization to Utilize Council Contingency Funds to Purchase <br />and Install Workstations and Flat Files at City Hall <br /> <br />Assistant City Administrator Nelson explained due to the addition of several positions that will <br />office out of City HaH, staff has solicited a proposal from Intereum, Inc. for additional work <br />stations for the Human Resources Technician, Engineering Technician and an additional position <br />in Finance. The proposed funding is from the Council Contingency Fund in an amount not to <br />exceed $15,500. 'The proposal includes the addition of four fully equipped workstations and <br />three additional fiat files for Engineering for storage of plans. With these additional <br />workstations, they will be at full capacity and very' tight on the main floor of City Hall. <br /> <br />Councilmember Cook asked if equipment and materials that are needed for the current City Hall <br />site would be able to be used if and when there is a new City Hall site. <br /> <br />Assistant City Administrator Nelson replied what is being ordered at the present time is needed.. <br />Whether all of the equipment would be brought to a potentially new facility remains to be seen. <br /> <br />Councilmember Cook questioned if this is equipment that is depreciated .and would have some <br />value remaining at the time of a move. <br /> <br />Assistant City Administrator Nelson responded in the affirmative. She explained the firm the <br />City works with works with them to take their current product to another user, so there is an <br />opportunity to recoup the costs. Unfortunately they are in a position where they need a solution <br />for two years: ' <br /> <br />Councilmember Kurak asked what the balance is in the Council Contingency fund at this time. <br /> <br />Assistant City Administrator Nelson replied currently there is a balance of approximately <br />$54,000. Finance Officer Lund felt comfortable with this expense given the balance in the <br />Council Contingency fund. <br /> <br />Coun~ilmember Elvig asked if these expenses were anticipated with the hiring of the employees. <br /> <br />Assistant City Administrator Nelson replied the Human Resources Technician was planned for in <br />the 2005 budget, and they generally budget for the workstation and those kinds of expenses with <br />the position. The Engineering Technician position was added mid-year around the Town Center <br />Development, and they knew they would get by for the summer with the technician being in the <br />field. <br /> <br />Motion by Councilmember Cook, seconded by Councilmember Pearson, to approve Resolution <br />#04-tl-341, Authorizing the use of Council Contingency' funds in an amount not to exceed <br />$15,500 for the purchase and installation of workstations and flat files at City Hall. <br /> <br />Motion carried. Voting Yes: Mayor Gamec, Councilrnembers Cook, Pearson, Elvig, Kurak, and <br />Strommen. Voting No: None.
