CITY COUNCIL WORK SESSION <br />Topic Report: Update on FFE (Furniture, Fixtures, <br />and Equipment) Package for new Municipal Center <br />By: Iteidi A. Nelson, Asst. City Administrator <br /> <br />llackground: <br /> <br />Over thc past several months, staff has been working on developing the FFE package for <br />thc new municipal center and the preliminary budget for the package. Staff has <br />conducted an inventory of the existing non-systems furniture at city hall and the police <br />dcpamnent and lntereum (Herman Miller Furniture Dealer) has conducted an inventory <br />oF thc existing systems furniture (work stations). The existing seating, conference tables, <br />and filing cabinets were included in the non-systems inventory have been assigned to <br />areas within the new building. <br /> <br />lntcrcum has developed a furniture package to furnish the balance of the building. The <br />proposed package and preliminary budget assumes new systems furniture. Furniture <br />would be purchased only for those work spaces that would be occupied upon move-in. <br />Fulure positions after move-in would need to include funding for a work station for each <br />position. The preliminary budget for the entire furniture package is $579,168.00. The <br />placcholdcr in the budget for the entire FFE package is $700,000.00. <br /> <br />There are several options to pare down the preliminary budget. The most significant of <br />which is whether to purchase new systems furniture or to re-furbish the existing systems <br />fimfiturc. Re-furbishing the entire stock of existing systems furniture brings with it some <br />significant challenges in terms of needing to remove the existing furniture and allow time <br />tbr painting or re-fabricing. Staff has discussed options to have existing file cabinets that <br />arc within work stations re-painted, allowing for staff to continue to work in the existing <br />work space up until move-in day and for the re-use of a large number of files. There are <br />opportunities to sell the existing systems furniture; Intereum has agreed to assist the city <br />in that re-sale if the city should choose to go that direction. <br /> <br />Stal'F is seeking direction from Council regarding whether staff should proceed with <br />planning to refurbish all existing systems furniture or to purchase new systems furniture <br />and rcfi~rbish all existing files. Staff has attached the preliminary furniture budget <br />developed by Intereum for discussion purposes; more detail on the furniture package will <br />bc available during the work session. <br /> <br />Action Statement: <br />Based upon discussion. <br /> <br />CCWS: 09/06/2005 <br /> <br /> <br />
