CC Regular Session 5. 8. <br /> Meeting Date: 06/28/2022 <br /> By: Colleen Lasher,Administrative <br /> Services <br /> Information <br /> Title <br /> Authorization to Hire a Part-time Receptionist/Secretary <br /> Purpose/Background: <br /> The purpose of this case is for the City Council to approve hiring a part-time receptionist/secretary. <br /> Background: The front desk is currently staffed by one full-time employee. Prior to 2011, two employees covered <br /> the desk.Now,when the regular front desk employee is away, there can be gaps in customer service. Other <br /> Administrative Services staff cover the front desk,when possible. However, it is inefficient for other <br /> Administrative Services staff(upstairs)to cover the downstairs desk(for lunches,vacations, etc.). Staff identified an <br /> improvement by proposing this position to take the place of the Happy Days summer intern. Adding year-round <br /> afternoon support at the front desk will increase 2nd floor staff efficiency and will eliminate all or nearly all <br /> afternoon gaps in customer service to better serve our residents. <br /> This position will be responsible for reception desk duties such as greeting and directing visitors in the Municipal <br /> Center,handling incoming calls, answering questions, collecting information and directing calls to appropriate <br /> departments; as well as processing payments,preparing receipts, and notarizing documents. In addition,this <br /> position is responsible for providing administrative support to the Administrative Services Department, including, <br /> but not limited to ongoing projects such as assisting with the City's annual Happy Days Festival, election duties <br /> and other duties as assigned. <br /> Staff conducted eight first interviews, followed by five second interviews. The top candidate,Ms. Jennifer Gilb,has <br /> successfully passed the City's pre-employment background testing and is recommended for hire. Ms. Gilb will be <br /> subject to a six-month probation,the Personnel Policy and the AFSMCE union contract. <br /> Funding Source: <br /> This position was discussed and approved as part of the 2022 budgeting process and replaces the Happy Days <br /> Intern. It was planned to have this position hired by April 1,2022; at that time,the cost to the City in 2022 would <br /> have been$3,364. with the delayed start date,the 2022 cost is approximately$1121. This is the net additional <br /> funding over the cost of the Happy Days Intern. <br /> Recommendation: <br /> To hire Ms. Jennifer Gilb, at step one of the 2022 wage scale,which is $22.379 per hour, effective on or near July <br /> 18, 2022. <br /> Action: <br /> Motion to hire Ms. Jennifer Gilb, at step one of the 2022 wage scale,which is $22.379 per hour, effective on or <br /> near July 18, 2022. <br /> Attachments <br /> Job Description <br />
