CC Regular Session 5.9. <br />Meeting Date: 08/08/2022 <br />By: Colleen Lasher, Administrative <br />Services <br />Information <br />Title <br />Authorization to Hire an Accounting Clerk <br />Purpose/Background: <br />The purpose of this case is for the City Council to authorize hiring a full-time Accounting Clerk. <br />Ms. Barb Hollom has been selected to fill the Accounting Clerk position that was previously filled by Ms. Chanda <br />Stephan. Staff feels very fortunate to have had a very strong applicant pool and contacted Ms. Hollom upon <br />receiving Ms. Stephan's resignaton. Ms. Hollom went through the same recruitment process along with Ms. Stephan <br />and others. Ms. Stephan was hired to fill the position and worked from August 1, 2022 through August 4, 2022; <br />however, she has since resigned. Her last day worked was Thursday, August 4, 2022. <br />As the City Council is aware, this is not a new position, but rather a replacement for Ms. Tammy Oakes, who was <br />promoted to Accountant I following a reorganization in the Finance Department. That reorganization was approved <br />by the City Council on June 14, 2022. <br />Recruitment Process for the Accounting Clerk <br />In order to fill the position, a recruitment process was conducted. Staff interviewed many candidates, including Ms. <br />Barb Hollom. Ms. Hollom completed the necessary pre -employment background checks and staff recommends Ms. <br />Hollom for the full-time regular position of Accounting Clerk. Ms. Hollom will be subject to a 6-month <br />probationary period, the City's Personnel Policy and AFSCME union contract. <br />Accounting Clerk Position Responsibilities <br />1. Verify, code and enter accounts payable invoices and support documentation <br />2. Verify, code and enter accounts receivable invoices <br />3. Review cash receipts and permit software upload preparation <br />4. Process Comdata transfer account information, prepare statements and process payment <br />5. Compile financial reporting information <br />6. Perform general accounting, administrative activities and other duties as assigned <br />7. Maintain records for A/P, A/R and cash receipts according to the applicable retention schedule <br />8. Promote good relations amongst staff and public <br />9. Serve as back-up for processing bi-weekly payroll <br />Funding Source: <br />The funding required to fill this position is included in the approved 2022 budget and represents a savings when <br />compared to the current budgeted amount for this position. <br />Recommendation: <br />Staff recommends hiring Ms. Barb Hollom as a full-time Accounting Clerk, effective on or near August 29, 2022 at <br />$23.262 per hour, which is step 1 of the 2022 Accounting Clerk wage scale with a credit of three vacation days. <br />Action: <br />
