Motion by Commissioner Rolfe, and seconded by Commissioner Ostmm, to recommend to City
Council use park easement money received from Northern States Gas for the Community Built
Playground.

Motion carried. Voting Yes: Chair Cook, Commissioners Rolfe, Ostrum, Asfahl, Johns, and
LaMere. Voting No: None. Absent: Droegemueller.

Further discussion: Mr. Boos stated that he could provide a sample of letters which would
describe the project for Commissioners to send to possible contributors that could be modified
for each specific Commissioner to be listed as a contact.

Commissioner Ostrum suggesting putting together a list of organizations and have a letter sent to
them with information on the project and let them know that a Commissioner would be willing to
meet with their organization and give a presentation on the project.

Chairperson Cook suggested sending out a mail merge letter that would explain the playground
and then follow-up with any organization the Commission had not heard from.

Commissioner Rolfe questioned if any type of recognition will be given to contributors. Mr.
Boos suggested a sign at the park listing anyone donating more than 500 dollars. Chairperson
Cook stated it is a community park project and everyone who participates in the project should
receive recognition. Chairperson Ostrmn suggested listing all of the volunteers no matter how
they participated.

Mr. Boos stated that he will send a letter to the people who donated to the bike rodeo last year
stating the bike rodeo will not be held this year, and explain to them about the community built
playground.

Case tt4: Note Danner Addition

Noted.

COMMISSION/STAFF INPUT

The Park and Recreation Commissioners expressed concern about not receiving all of their
Commission materials. They explained that some Commissioner will receive the information
and others will not. Mr. Boos stated he checked the mailing list and verified what is being sent
so he doesn't understand why some Commissioners are not receiving the materials.

Commissioners noted that Park Maintenance Surveys were not received by Commissioner
Asfahl, Commissioner Ostrum, Commissioner LaMere, and Commissioner Droegemueller and
requested that they receive one.

Park and Recreation Commission/May 13, 1999
Page 4 of 5
