I <br />have initiated informal discussions of this matter as far back as two years <br />ago, unfortunately our discussions were vague and we have never implemented <br />any changes. <br /> <br />BACKGROUND: <br /> <br />When I joined the Planning and zoning commission we seldom had extra meetings. <br />Additional meetings were scheduled by a consensus of the commissioners, <br />typically at a meeting, the request was often an agenda item. This has <br />changed. Meetings are now being scheduled through some other process. <br /> <br />RECOMMENDATION: <br /> <br />When additional meetings are required, the request should appear as an agenda <br />item and be considered as part of a scheduled meeting. When this is not <br />possible, the consensus of the commissioners should be obtained via other <br />means prior to scheduling the meeting. <br /> <br />We have had problems re~ently with attendance. On some occasions we have not <br />had a quorum and could not do business. Instituting the policy I have <br />outlined will help eliminate this problem. <br />
