Ms. Hart mentioned that <br />vehicles and heavy equipment are generally purchased through the Hennepin County Purchasing <br />Cooperative or the State of Minnesota Cooperative Purchasing Venture. Both of these <br />cooperatives have met all of the statutory bidding requirements, therefore, if the vehicles and heavy <br />equipment budgeted are purchased fi.om these organizations, it would not be necessary to advertise <br />or proceed with the bidding process. <br /> <br />Motion by Mayor Gamec and seconded by Councilmember Beyer to recommend Council approval <br />to proceed with the purchase of the capital outlay items included in the 1997 Adopted General Fund <br />and Enterprise Funds Budgets. <br /> <br />Motion carded. Voting Yes: Mayor Gamec, Councilmembers Beyer, Beahen and Zimmerman. <br />Voting No: None. Absent: CouncilmemberHaas Steffen. <br /> <br />Case #3: <br /> <br />Authorize Budget Amendment for the Purchase of Replacement and <br />New Computer Equipment <br /> <br />Finance Officer Hart stated that there is money in the budget for replacement and new computer <br />equipment. It was anticipated that we would replace three of the existing Mac's with PC's, <br />however, it is becoming more and more necessary to replace the Mac's, as most of them are 8 to <br />10 years old and beginning to experience problems. She acquired quotes for various equipment <br />from TR Systems, Inc., the company that installed and maintains the existing equipment. The <br />quote was somewhat less than anticipated. She also requested information from the State of <br />Minnesota Cooperative Purchasing Venture and the Hennepin County Purchasing Cooperative, but <br />has not heard back. Because of the lower prices, it would be desirable to replace as many Mac's as <br />we can. Replacement would also require the need for another laser printer that is compatible with <br />the PC's. She listed several benefits to everyone having PC's. We could also eliminate the <br />maintenance contract on the hardware. The amount for 14 PC work stations and two printers and <br />all the licenses, comes to $20,159. We currently have a Mac scanner. If we maintain that, we <br />would have to have a Mac printer and computer. She stated she would like to add about $800 into <br />the amount to get a new scanner. With regard to getting rid of the Mac's, we could sell them by <br />sealed bids or we could donate them to the school. They are 8 to 12 years old and have seen more <br />than their useful life. <br /> <br />(Councilmember Haas Steffen arrived at 6:16 p.m.) <br /> <br />Ms. Hart continued that any proceeds are not calculated in the amounts. It will go into the <br />Equipment Replacement Fund to continue increasing that balance. <br /> <br />Councilmember Haas Steffen asked about government contracts for the purchases. <br /> <br />Ms. Hart replied that she has contacted these agencies but has not heard back from them. She <br />added that she contacted Circuit City and they are about 50 to 60% higher in price than TR Systems <br />and that did not include installation. <br /> <br />Motion by Councilmember Beyer and seconded by Mayor Gamec to recommend Council authorize <br />the budget amendment for the purchase of replacement and new computer equipment, contingent <br />upon receiving one contract price. <br /> <br />Motion carried.
