This proposed amendment would have the following effect on the 1997 Adopted General Fund Budget: Hardware [Computers/Printers/etc.] Maintenance Contracts Software Updates/Upgrades First Year Funding Total New Monies Less: Available from Equipment Replacement Net New Monies $18,700.00 $24,651.00 6,800.00 0.00 5,000.00 6,875.00 3.740.00 4.930.00 $34,240.00 $36,456.00 11,400.00 16.297.00 $22,840.00 $20,159.00 The effect on the overall budget would be a reduction of approximately $2,681.00. With the replacement of the Mac's there are several options to dispose of the unnecessary equipment as follows: 1) Sell to a vendor for parts in their business [this has been done by other organizations and I am aware to at least two in the Metro area that may be interested]. 2) Establish a price for each machine based on a vendors bid and sell to interested parties [employees and the public] by posting as such. 3) Donate all or a portion to the school district [has no benefit to the City]. Any proceeds from the disposition of any of this equipment has not been considered in the above calculations. The proceeds, if any, would be placed in the Equipment Replacement Fund for future replacements/additions to the City's fixed assets. As an aside, even though the total purchase price of all equipment and software exceeds $25,000, the PC's and printers are not "dependent" on each other and are considered separate components, therefore, it is not necessary to "bid" this out under the statutory bidding laws. Staff Recommendation: Committee approval of the proposed budget amendment for the purchase of replacement and new computer equipment from TR Systems, Inc. Committee Action: Motion to recommend Council adoption of Resolution 96-01-XX Authorizing Budget Amendment for the Purchase of Replacement and New Computer Equipment.
