FC CASE

AUTHORIZE BUDGET AMENDMENT FOR CONSTRUCTION OF EVIDENCE
STORAGE IN THE NEW POLICE DEPARTMENT BUILDING
By: Jessie Hart, Finance Officer

Background:

With the new police building near completion, the Police Department will be in need of a secure,
centralized storage area for evidence and other property. The Police Department currently
utilizes two areas for this type of storage: 1) the existing police garage and adjacent storage room
in the lower level of City Hall and 2) a fenced in area'in the metal public works building.

Attached is the following information for your review:

1)
2)
3)

Memorandum from Officer Tim Dwyer referencing the proposed evidence storage area.
Floor plan and layout of the proposed evidence storage area.
Proposal from Sharp and Associates to construct proposed evidence storage area.

It is the intent of the Police Department to centralize evidence and property storage at the new
facility, preferably in the lower garage area. This would require additional construction costs
that had not been originally anticipated in the building budget.

Based on the proposal submitted by Sharp and Associates, and incorporating Alternate 1, the
increased cost would be $3,430.00. This cost cannot currently be borne by the original allocation
for the construction but it is anticipated that the time savings of centralizing this function [not
running back and forth across town] would offset the construction cost over a period of time. It
has been determined that there are sufficient funds remaining in the Council Contingency which
could be allocated for the construction of the evidence and property storage room.

Staff Recommendation:

Staff recommends construction of the evidence and property storage room with funding for said
coming from a budget amendment allocating up to $3,430 from the Council Contingency.

Committee Action:

Motion to recommend City Council adopt Resolution 96-10-XXX Authorizing Budget
Amendment for the Construction of Evidence and Property Storage Room in the Police
Department Facility.

Reviewed by:

City Administrator
Finance Officer
Police Chief

FC: 10~2~6
