At the
same time, the vendors supplied demo copy machines for the Police Department. The
Police Department's copy machine was not scheduled for replacement in 1995, but due to
continuous problems and the potential of getting a better deal by purchasing two copiers at
the same time, Staff felt it reasonable to proceed looking at the potential purchase of both
machines. Ms. Hart stated that Staff concluded that the Ricoh FT8780 best met the City's
requirements. The copy machine for the Police Department is proposed with duplexing
abilities. A sorter and automatic document feeder can be added at later dates, as the needs
arise, at a cost of approximately $2,000. She stated that while the purchase, as proposed,
does not impact the overall total dollar amount reflected in the adopted budget, it will be
necessary to amend the budget to reflect an increase in the transfer available from the
Equipment Revolving Fund by $5,000 and a reallocation of the dollars budgeted for the
copy machine purchase between the Police Department and Administration.

Councilmember Peterson inquired what happens to the machines the City currently owns.

Ms. Hart stated they will be traded in; however, they have little or not value.

Councilmember Peterson inquired why Staff is recommending going with Ricoh after all
the problems we have been experiencing with their machine.

Finance Committee/January 24, 1995
