CASE # 1

Review of Environmental Expo and Tree Sale
By: Chris Anderson, Environmental Coordinator

Background:

As the Board knows, the Environmental Expo and Tree Sale occurred this past April. There
were a total of six (6) nurseries and twenty-one (21) exhibitors that participated in the event.
While there was a good showing of exhibitors and nurseries, overall attendance was much lower
than expected.

Observations:

Staff is of the belief that the low attendance numbers are due, in part, to the fact that there was
not an expo event in 2007 and because it was held in a new location. Furthermore, not having
the elementary school as a partner likely played a role in fewer attendees as well. That being
said, it is apparent that a more thorough and aggressive effort must be made with regard to
advertising and promoting the event.

Looking forward to future events, Staff is contemplating forming an expo planning committee to
work with, similar to that of the happy days committee. This committee could be extremely
helpful in terms of theme development, identifying exhibitors of interest, communications, and
operations assistance during an event.

The preorder option for trees w~s a great success. However, if it is offered again, some
adjustments would be made. Rather than the City purchasing the trees, it seems more appropriate
to form a partnership with the participating nurseries for the preorder option. This will still
provide a cost effective opportunity for the residents to purchase trees while simultaneously
providing the nurseries with an idea of how much material to bring to the event and hopefully
boosting their sales.

Recommendation:

The Board should be prepared to discuss vanous aspects of the expo event and provide
feedback/suggestions for future events.

EPB Action

Based on discussion.

EPB: 6/2/08
