Case # 9.(99 <br />AUTHORIZE CONTRACT FOR LEASE SPACE REMODEL <br />IN THE RAMSEY MUNICIPAL CENTER <br />By: Jessica L. Hendricks, Management Intern <br />Background: <br />The bid package for the remodel of lease space in the Municipal Center to accommodate the Anoka <br />County License Center was issued on Monday, March 8 d ', 2010. Bid opening will occur on <br />Monday, March 22 ❑d , 2010 at 2:00 p.m. Staff will present the bid results at the meeting and will be <br />seeking authorization to move forward with the remodel project. <br />BKV Group prepared construction cost estimates for both the License Center and the conference <br />room build -out. The estimated cost for the conference room and kitchenette area was $51,412. The <br />License Center estimate was $74,196.97. Per the executed lease agreement, the City agreed to <br />contribute $25 /SF to cover the construction costs of the License Center for a total contribution of <br />$55,000. The difference between the estimate and the tenant improvement allowance is $19,196.97, <br />which will be funded by the County. <br />In addition to the mid -size conference room build -out, staff has recommended replacing the floor <br />mats in the entryways of the Municipal Center. The current mats are not wearing well and cause <br />increased maintenance throughout the building due to shedding. With the increased traffic from the <br />License Center, these issues will likely be exacerbated. Staff has obtained a quote for the <br />installation of heavy duty flooring material that will not shed and that has a darker, variegated color. <br />The estimate to replace the mats is $7,852.00, which includes the cost of removing the existing <br />product. Staff recommends including this cost in the budget for the project. <br />The cost to the City for the proposed lease space remodel, mid -size conference room build -out, and <br />entry mat replacement is as follows: <br />■ $55,000 Anoka County License Center tenant improvement contribution <br />■ $51,412 Mid -size conference room build -out estimate <br />■ $7,852 Entry mat replacement <br />■ $25,000 Estimated cost to furnish mid -size conference room <br />■ $15,000 Estimated cost of AV equipment for the mid -size conference room <br />■ X,XXX Signage <br />The estimates for the signage will be available to City Council at the March 23 meeting. The costs <br />to furnish and purchase AV equipment for the mid -size conference room will return to Council for <br />review and consideration. <br />Funding Source: <br />Funding for the remodel would be funded from the funds left in the Municipal Center Construction <br />Fund, which has a balance of $23,197. Additional funding required could be allocated from the <br />Facilities Construction Fund, which has an approximate balance of $159,000. It should be noted <br />that the CIP has indicated that the following projects be funded from the Facility Fund. These <br />projects are subject to approval from the City Council. The Facility Construction Fund is <br />replenished by annual interest earnings and year -end excess revenue transfers. <br />2010 — Purchase land for Fire Station #3 $50,000 <br />2011 —Sprinkler system $25,000 <br />2013 — Purchase land for Fire Station #4 $70,000 <br />
