CITY COUNCIL WORK SESSION Topic Report: Reconsider Seating Options for the New Lake Itasca Room By: Jessica L. Hendricks, Management Intern Background: At the June 1, 2010 Work Session, staff presented a quote for the purchase of chairs for the new conference room. The chairs were to be of the same style as the chairs in the Alexander Ramsey Room. Staff had obtained three (3) quotes for the purchase of thirty (30) chairs. The prices for that amount ranged from $6,091.20 to $12,960.00. The consensus by Council was that this was too high an amount to spend on chairs, and staff was directed to research the purchase of used chairs for the new conference room. Per Council direction, staff contacted three (3) used furniture dealers. Staff also asked the furniture company, Parameters, who helped to select the furniture for the conference room, to contact other used furniture companies. In all cases, staff was told that it was. not possible to purchase matching chairs at such a high quantity. Staff Recommendation: Staff recommends Council reconsider the seating options for the new Lake Itasca Room. Purchasing chairs that match those in the Alexander Ramsey Room will allow for greater flexibility with seating, allowing staff to move chairs back and forth between conference rooms as necessary. Staff recommends that the chairs be purchased from Intereum, who submitted a quote of $6,091.20. Funding Source: The funding source for this furniture is the Equipment Revolving Fund. The balance of this account is approximately $3.4 million. Action Statement: Based on discussion. Direction given at the Work Session will be presented on the Consent Agenda at the July 27, 2010 City Council meeting for formal consideration.
