Analyzes, receives and processes a variety of documents, records, and reports requiring knowledge of <br />procedures, policies, state law, federal law, and city codes to ensure accuracy <br />• Assists with survey and inventory of department files for retention schedule <br />prepares and scans documents for preservation for backup of department operation <br />• Responds to department requests for records, records management, and records destruction <br />Maintains and ensures the updating of various lists and records in areas of assigned accountability <br />• Serves as contact person for vendor of secure document disposal <br />• Oversees disposal of unneeded and outdated records according to retention schedules as mandated by <br />the State Data Practices or Minnesota Historical Society guidelines <br />D) ELECTIONS <br />• Attends election judge training and assists with elections and election judge staff <br />• . Coordinates maintenance and testing of election equipment <br />• Administers absentee voting process <br />• Maintains election records <br />E) INFORMATION TECHNOLOGY <br />• Creates, modifies, enhances, and performs maintenance on city website /employee intranet site which <br />include preparing information and graphics, preparing documents, monitoring quality control, and <br />ensure style consistency <br />• Creates, modifies, and maintains lists for city listserve and acts as list owner for settings and other <br />changes . <br />• Sends email notifications via listserve on a daily basis for multiple lists <br />• Backs up IT manager <br />• Serves as webmaster routing email inquiries to appropriate staff <br />• Administers and updates city's Facebook page <br />KNOWLEDGE, SKILLS AND ABILITIES <br />• Technical Knowledge: Knowledge of the organization and fimctions of city departments. Extensive <br />knowledge of computers <br />• Technical Ability: Must be able to keep accurate records, to assemble and organize data, and to prepare <br />standard reports from such records. Must be able to use the computer for word processing, spreadsheets, <br />database packages, and other various computerized packages as assigned <br />• Communications: Must have the ability to actively listen to others for understanding of their needs and <br />situations; ability to speak, read, and write English clearly. Must be able to effectively represent the <br />organization to management and the public;.able to speak effectively in public <br />• Decision Making: Must use good judgment. Must be able to assess problems and situations, able to anticipate <br />needs and evaluate alternatives <br />• Interpersonal Relationships: Must be consistent in dealing with people; must exclude personal biases from <br />work performance; must have the ability to accept criticism and/or discipline; must have tact and diplomacy; <br />must strive to promote a cooperative atmosphere in the department; must have a positive attitude. Must be able <br />to establish and maintain effective and respected working relationship with employees, supervisors and <br />management. Must have ability to work as a team member in the department and organization <br />• Professional Attitude: Must have commitment to the organization; willingness to take initiative; <br />dependability, maturity in relationships with others; and self confidence. Must represent the organization to the <br />public with a courteous, helpfid, accurate and business -lice attitude in all telephone and personal contact <br />• Quality of Work: Must be able to produce quality, accurate work. Must be able to detect and correct errors. <br />Must be able to utilize work time properly and productively, including prioritizing work Must be able to work <br />independently on a wide variety of projects and assignments <br />TRAINING AND EXPERIENCE: <br />NM494UM QUALIFICATIONS <br />• High school diploma or GED supplemented by at least two years of related post secondary course work <br />• Minnesota Certified Municipal Clerk (MCMC) certification <br />
