CASE

PROCEDURE FOR PLACING ITEMS ON THE CHARTER AGENDA
By: Jo Thieling, City Clerk

Background:

During the November 29, 20()1 meeting, the Charter Commission engaged in a conversation
relating to the procedure for placing items on the agenda for discussion. Most of the items
placed on an agenda for Charter discussion is done so because an issue has come up and it has to
do with the Charter, or the Charter has requested, at a meeting, that an item be placed on their
next agenda, etc. Staff has also offered to place items on the agenda for discussion if a Charter
member calls to request it. The item will be placed on the agenda, however, if the Commission
does not feel it warrants discussion, or they need more information, it can be pulled from the
agenda or tabled for further information.

The City Code does not lie out a specific procedure for placing items on agendas. It basically
states that an agenda will be prepared in accordance with the order of business and copies shall
be delivered to each Board of Commission member. It goes on to state that no item shall be
considered unless it appears on the agenda for the meeting, but the commission or board may, in
its discretion, consider matters not appearing.

If the Commission would like to work on a policy/procedure different from what is currently
being done, staff is open to suggestions.

Commission Action:

Based upon discussion.

Reviewed by:

City Clerk

Charter:

01/17/02

Copies also distributed to:
City Attorney

7
