I
I

I
i
I
I
I
I
I
I
I
I
I
I
I
I
I
I
I

PC CASE

AUTHORIZE CONTINUING RECRUITMENT OF A FULL-TIME
RECEPTIONIST/SECRETARY
Rhonda Heryla, Human Resources 1VIanager

Background:

Based on Council's approval to hire JoAnn Shaw as the full-time Community Development
Secretary, a full-time Receptionist/Secretary position in Administration is now vacant. Staff is
requesting authorization to recruit and hire Ms. Shaw's replacement.

Observations:

Through previous Council actions, Tara Olson was hired for the Public Works Secretary and her
position in Community Development was left vacant. Based on Council's approval, JoAnn
Shaw will fill Ms. Olson's former position in Community Development and consequently leave a
vacancy in Administrative Services. Due to the chain of events and departments affected by
filling the vacant Receptionist/Secretary position, Staff felt timing was crucial and wanted to
make every effort to bring the City departments back to full staff.

Given Ms. Shaw's satisfactory performance and years of employment with the City, Staff
anticipated her move to Community Development. As such, Staff prepared a posting for the
Receptionist/Secretary position in Administrative Services and did post the position internally on
July 6, 2000. The required internal posting Mil expire on July 14th and if needed, the external
posting will be posted in the required newspapers immediately the following week versus
waiting to be run the week of July 24th. Should Council decide not to approve Ms. Shaw's
application for the Community Development Secretary position, she will be retained at her
position with Administrative Services and the internal posting will cease to exist.

Staff Recommendation:

Staff is recommending that the Council authorize the continued recruitment of a full-time
Receptionist/Secretary in Administrative Services.

Committee Action:

Motion to recommend that the City Council aUthorize staff to continue recruiting a full-time
Receptionist/Secretary in Administrative Services.

Reviewed by:
City Administrator
Assistant City Administrator

PC: 7/11/00
