Event Questions:

Questions for staff: Jim the following is a rough draft of some of the
questions that come to mind that I think needs staff impute in determining
the possibilities. I believe that by presenting the committee the guides for
setting the boundaries and only make decisions with in the presented
boundaries will focus the committee. As you read through this please note
that the questions are not in order of importance or have received the benefit
of editing.

I would like to schedule a event meeting with staff present (Gus and Dean),
however I am not sure that the meeting on May 5 is prudent. However if
some of the basics questions parking, parade detours etc. may akeady have
been answered, it would be great to get the information. Melissa has set the
agenda with logo contest judging at 7 meeting at 7:30. The agenda is to
address the budget and to confirm the events (cost & logistics). I agree with
her assessment that this needs to be done and would be uncomfortable with
agenda changes with out first consulting her as I have no idea on how long
this will take. There have been numerous attempts at this point to get
commitments and focus. If they (Gus, Dean) are to attend, I believe they
should be on first so they are able to leave.

Questions not according to importance or time line:

Parking for event and transportation plans for participants if located away
from city campus will busses need to be used, if so who will pay for them?
Is there any possibility that county traveler could be used?

If private held land is to be considered for parking who and when will the
request for usage be made and will the event insurance cover it? How will
handicap parking be handled? How will people walk to event road, trail, etc.
How will people be able to get back to parking area after dance ends. What
needs are there regarding security in walk ways and in parking area.

Locate stage for Sat. arrange for transportation and set location on city hall
campus for events held there. Dance, pig roast, beer gardens, porta Johns (
how many reg and handy cap). Do they need to be pumped during event and
how to provide lighting during dance. Who will contact companies and do
we need them at city hall and at school? Who pays for them?
