Bidding and Contract Award 40 hours Prepare Ad for Bids and submit to the required publications. · Copy plates, specifications and bid packages. Distribute to interested contractors. · Answer contractor questions and issue addenda as necessary. · Attend bid opening and assist City representative. · Prepare award recommendation for City Council/Mn/DOT approval. Contract Administration 240 hours · Represent the City during construction to help resolve any potential construction conflicts. · Prepare monthly pay requests. · Prepare change orders/supplemental agreements as necessary. · Certify project completion and acceptance. 3. Construction Staking and Observation 2,120 hours · Provide construction observation by Mn/DOT-certified field personnel. · Provide ahgnment and grade stakes as necessary for use by the contractor. Total Phase III 2,400 hours Basis of Payment We propose to be reimbursed for our services on an hourly basis at a rate of 2.5 times salary cost for the actual time expended, for the out-of-pocket expenses (printing, reproduction, etc.) at cost and for mileage not to exceed the IRS-approved rate (currently $.31 per mile). Invoices would be submitted on a monthly basis for work performed during the previous month. We estimate the cost to perform these services as follows: Phase I (Preliminary Design) $ 37,500 Phase II (Final Design) $ 97,500 Phase III (In-Construction) $ 132,000 We will not exceed these amounts without your approval. We are prepared to proceed with the design of this project at your direction and estimate completion as shown on the attached project schedule.
