CITY OF RAMSEY POSITION ANALYSIS <br /> <br />POSITION TITLE: Recording Secretary <br /> <br />DEPARTMENT: <br /> <br />Administrative Services <br /> <br />POSITION TITLE OF <br />IMMEDIATE SUPERVISOR: <br /> <br />Administrative Services Manager <br /> <br />PRIMARY OBJECTIVE OF POSITION: <br /> <br />Thc primary objective of this position is to record and prepare meeting minutes of the City <br />Council, Council Committees and City Commissions and to provide clerical support and <br />assistance in the Administrative Services Department. <br /> <br />RESPONSIBILITIES: <br /> <br />A. Prepare meeting minutes of the City Council, Council Committees and City Commissions. <br />B. Provide clerical support. <br />C. Perform official activities. <br />D. Perform office duties. <br />E. Perform community service activities. <br />F. Provide administrative support and direction for Adminiswative Services staff in the absence <br /> of the Administrative Services Manager. <br />G. Coordinate and supervise municipal election functions <br />H. Perform wide range of tasks (within the ability and resources of the Recording Secretary) at <br /> the verbal or written direction of the Administrative Services Manager. <br /> <br />TASKS RELATED TO RESPONSIBILITIES: <br /> <br /> Prepare meeting minutes of the City Council, Council Committees and City Commissions. <br />1. Attend City Council, Council Committee, and City Commission meetings and use <br /> shorthand or speed writing skills to record minutes. <br />2. Transcribe minutes via typewriter or word processing equipment. <br />3. Prepare staff direction resulting from meetings. <br />4. Coordinate preparation of City Council, Council Committee and City Commission <br /> agendas. <br />5. Coordinate preparation, publication and certification of resolutions and ordinances. <br />6. Maintaining minutes, resolutions and ordinance records. <br />7. Schedule meetings. <br /> <br />Provide clerical support. <br />1. Transcribe and type information via typewriter or word processing equipment. <br />2. Edit and proofread written material and data. <br />3. Collect, maintain and file information. <br />4. Perform back-up receptionist duties. <br />5. Perform copying, collating, cutting and bindery activities. <br /> <br />Perform official activities. <br />1.
