3. Performance Appraisals <br /> <br />Our target was to complete performance appraisals in January. To date, of the 39 appraisals that <br />need to be done, 28 have been completed; 6 have been scheduled for early February; and five <br />have yet to be scheduled. <br /> <br />4. Study of Clerical Positions <br /> <br />On January 9, 1996, the City Council directed me to conduct a study of clerical positions as part <br />of developing, by the March Personnel Committee meeting, recommendations on how to <br />structure the job duties of a part-time clerical position in the 1996 budget and resolve a request <br />for job duty reassignment. That study is proceeding as follows. <br /> <br />All the affected people have reviewed their current job descriptions to ensure that they accurately <br />reflect what they are doing now. By February 16, I will interview each person using a structured <br />questionnaire. I wilt also be interviewing people who work closely with clerical staff to get their <br />input and ideas. All the information I collect will go into a draft report of my findings and <br />conclusions, and recommendations. The draft will be completed by March 1, and circulated to <br />everyone who gave me information so they can review it and give me feedback. I will <br />incorporate their feedback into the final report for the March 12 Personnel Committee meeting. <br /> <br />5. Study of Public Works <br /> <br />I met with the Public Works Department on February 6, 1996, to discuss the process for <br />conducting the study of Public Works and to complete the first task, which is a checklist of how <br />the department operates on a day-to-day basis. The next step is to have individual interviews <br />with each employee and supervisor, using a structured questionnaire to solicit their ideas. Those <br />interviews are scheduled for February. I will also be interviewing City Council Members and <br />other City staff to measure their perceptions of Public Works. On February 29, 1996, I am <br />scheduled to meet with Public Works staff to feed back to them the information I have collected. <br />At that meeting, or a subsequent meeting with them, I will share with them my draft findings and <br />conclusions and recommendations. I will incorporate their responses into the second draft which <br />will be submitted to the City Administrator and City Engineer. I expect to submit the final report <br />to the Personnel Committee in April. <br /> <br />6. Safety <br /> <br />Finance Officer Jessie Hart and I met with Tom Meeker of Berkley Administrators in January to <br />determine what needs to be done to bring the City into compliance with AWAIR (A Workplace <br />Accident and Injury Reduction) legislation. We need to reactivate the Safety Committee and <br />finalize the Safety Manual that was started two years ago. Then we need to start having regular <br />safety meetings in departments. With Mr. Meeker's help, I developed a list of items we need to <br />address.
