However, the contract ' <br />indicated that the Transportation Plan would be prepared only through the <br />Planning and Zoning Commission and City staff. These additional meetings <br />accounted for 25.5 hours beyond the contract. <br />Review with Planning Commission (Task 1.07) <br />Review meetings with the Planning and Zoning Commission were to require ' <br />eight hours according to the contract. However, these meetings actually exceeded <br />the allotted time by 30 hours. <br />Because the additional effort was not the fault of BRW, Inc., and because the City ' <br />staff and /or appointed or elected officials essentially required us to attend the <br />meetings and revise the draft plans as described above, we feel that it is fair and <br />warranted that we be compensated for our time. Therefore, we respectfully <br />request that the City sign the enclosed Contract Addendum agreeing to <br />compensate BRW up to an additional $3,960. <br />We hope and expect that the new "not -to- exceed" amount of $19,680 will be <br />adequate to cover all the requested services without further requests for contract <br />addenda. We will continue to work efficiently and seek to complete all the <br />remaining tasks as early as reasonably possible. <br />If you or Ryan would like to discuss the details of this request, please call me at <br />373 -6343. <br />In closing, let me emphasize that we have enjoyed our working relationship with <br />Ramsey and have found the project to be interesting and challenging.
