Case <br /> <br />FACILITIES REMODELING FOR THE FINANCE OFFICE <br /> II3': Sandra G. Ashley, Finance Officer <br /> <br />Background: <br /> <br />Several months ago Finance Office persormel were relocated to the upper level due to the Fire <br />Dep:mrnent remodeling. The final phase of that remodeling (relocating the employee lunchroom5 is <br />nov,' complete, and a total of three (3) offices in the upper level are available for Finance personnel. <br /> <br />In early December of 1989, Jim Hihz of Graphic Design Architects was asked to review the <br />facilities area for Finance staff as during the last fey,' months, the Finance Office has realized <br />reduced efficiency due to separation of personnel, computer equipment and files. Thc g0al of <br />facilities review was to create one area for the City Accountant, Accounting Technician, regular and <br />temporary data entr)' personnel, computer equipment and Finance files. Thc proposed remodeling <br />(sketch attached) accomplishes this goal and also takes advantage of undcruti!ized space. <br /> <br />Graphic Design Architects requested bids for this project and received one bid from Tri-Co <br />Construction in the amount of Three Thousand Dollars ($3,000.00). City staff also contacted <br />Custom Repair for a bid ;ts they were recently involved in other remodeling here at City Hall. <br />Custom Repair submitted a bid in the amount of Two Thousand Two Hundred Ninety ISollars <br />($2,290.00). These bids do not include the cost of carpet replacement. <br /> <br />In light of the Cut s current review of facilities, the proposed remodeling and bids were reviewed <br />with Councilmember Cich. Councilmember Cich suggested a change that v,,ould again take <br />advantage of underutilized space - to remove the water fountain, place water cup dispensers in the <br />rest rooms so that water will be available to the public, and include the dedicated square footage in <br />the Finance Area. 1 have contacted Custom Repair for a revised bid including this change. This <br />bid should be available for the Council meeting. <br /> <br />Observations: <br /> <br />By creating one large area from two smaller offices and a hallway, this area's use will be far more <br />flexible in the future. <br /> <br />This remodeling project was not anticipated in the General Fund Budget for 1990; however, the <br />Administrative Trust Fund's current balance of approximately $30,000.00 is available for projects <br />such as this. <br /> <br />Recommendations: <br /> <br />I recommend Council approve an expenditure of up to Three Thousand Five Hundred Dollars <br />($.~,. 00.00} for the. cost of remodelina, carpeting and contintency for this remodelin,~ proiect with <br />the funding to come from the Adn'finish"ative Trust Fund. <br /> <br />Council Action: <br /> <br />Motion to approve/not approve FACILIT~S REMODELING FOR THE FINANCE OFFICE in <br />an amount not to exceed Three Thousand Five Hundred Dollars ($3,500.00) with funding to come <br />from the Adminisn'ative Trust Fund. <br /> <br />Review Checklist: <br /> <br />Cit.,' Adminisz'ator X <br />Cit',' Attorney <br />Ci:y Engineer <br />Community Development Director <br /> <br />C ..... o: Poi:ce <br />O~er <br /> <br />X <br /> <br /> <br />
