To better prepare for this review, I would like to respond to your <br />comments. <br /> <br />Delay in Audit Pro¢gss and Is,s~ance of the City's Annlial Financial Report <br /> <br />We agree with your observations regarding the computer crash, and it did start <br />a chain reaction of problems that resulted in extreme frustration for all' <br />concerned. We would like to comment on your suggestions in this regard. <br /> <br />Disaster Recovery Plan <br />We have system and individual function back-up procedures for the <br />new system. We also plan to deposit back-ups with our City Attorney <br />who is located off-site. <br /> <br />Monitoring the Financial System <br />The individual functions (Accounts Payable, Payroll, etc.) of the system <br />are current, and we are now entering the Fund and Budget parameters <br />which will provide the fully computerized financial ledgers. We expect <br />to be fully current by the end of the year. Once current with the full <br />system, we will be able to issue monthly reports for timely budget <br />monitoring. <br /> <br />Cross Training of Staff <br />Staff has been cross-trained in the areas of accounts payable, payroll, <br />special assessments and utility billing. These are of course primary <br />functions that are very important on a day-to-day basis. With the recent <br />addition of a Senior Accountant, additional cross training will nov,, be <br />feasible. <br /> <br /> <br />
