telephone system. If approved, $105,000 was included in the 2014 General Fund Budget under <br />Capital Expenditures and would be funded from the Equipment Revolving Fund. <br />IT Coordinator Fredrickson reviewed staff's effort to solicit proposals and staff's <br />recommendation to purchase a telephone system from Integra as the features are parallel to what <br />staff was looking for, it would create efficiencies in the system, and the price point offered. He <br />noted the Intel system was an impressive product; however, is $130,000 higher than Integra for <br />the same system. IT Coordinator Fredrickson described other telephone systems that had been <br />vetted and why staff was not recommending consideration of those systems. <br />Councilmember Kuzma asked if there was a sample of the telephone. <br />Jeff Anderson, Communication Specialist Sr. with Integra, stated he brought several brochures <br />and could have brought a telephone had he realized the Council wanted to see one. He explained <br />this is a later generation of the City's current system, making the change over for staff easier. <br />Councilmember LeTourneau asked what the expected life span is for the new system. <br />Mr. Anderson stated there used to be a life span of eight to ten years, which the City's current <br />telephone system has exceeded. He explained that had been the life expectancy because it was a <br />physical hardware -based system but the new systems are software based so it is difficult to place <br />a life expectancy since new features are a matter of adding software to the base software. He <br />stated he could say ten years but thinks it will be dramatically longer. Mr. Anderson explained <br />that VMware is a virtual PC environment. At its simplest level, virtualization allows a single <br />computer to do the job of many computers. An example would be to virtualize six physical <br />servers into six virtual servers. These six virtual machines would then run on two or three <br />physical machines. By virtualizing multiple servers we see decreases in downtime for <br />maintenance or disasters, reductions in power cost, and reductions in equipment cost. The <br />proposed system can be migrated to the VMware platform because it is just software. <br />Councilmember LeTourneau stated that is reassuring. <br />Mr. Anderson described system features for expansion of voice mail services, extended licensing <br />for messaging, simultaneous ring so desk calls can be transferred to cellular telephones and vice <br />versa, hot desking from other telephones or from home, integrated UCA software to allow staff <br />to take telephone calls and still see status of other staff members, file transfer, chat between staff <br />members, and availability on mobile devices. He stated wireless handsets and headsets and <br />video conferencing are options that can be added. <br />Mr. Anderson stated he has the mobile application on his cellular telephone and it shows who is <br />available to take a telephone call or is already on the telephone. He explained how the call can <br />be interfaced with other staff members and the cellular telephone number can be blocked. <br />Finance Director Lund stated the City Attorney reviewed the contract, found no issues, and the <br />selection of a telephone system is on tonight's Consent Agenda. <br />City Council Work Session / February 11, 2014 <br />Page 3 of 9 <br />
