Board Member Valentine referenced the list of contacts that the Subcommittee is working to develop and noted that at the last Subcommittee meeting there was a question regarding a protocol for reaching out to those contacts. Board Member Prendergast stated that she personally would not call any outside contact without the authorization of City Planner Anderson. Board Member Lewis noted that the list is not complete and believed the discussion should be tabled until that list is complete. Chairperson Max believed that a protocol would be beneficial as different Board Members have different communications styles. City Planner Anderson clarified that his belief was that the Subcommittee was simply compiling the list and noted that a scope of work and a reason for the call would need to be known. He believed that an understanding should be known why a Board Member is reaching out to an outside person prior to calls being made. • Environmental Expo Subcommittee: Board Member Prendergast stated that this Subcommittee met and reported that Board Member Hiatt reached out and tentatively confirmed that Belinda Jensen would be available as a keynote speaker. She stated that the first question was whether there would be a budget available. She advised that the station would like the Subcommittee to come back to them with that information and they would verify the fall event schedule. City Planner Anderson confirmed that there is a budget for the expo, a portion of which could be used for a speaker. He stated that he thinks it would be more appropriate to find out what the potential cost of the speaker would be. Board Member Bentz noted that if a big name is added for speaking there could be sponsorship opportunities. Board Member Prendergast stated that the Subcommittee discussed holding the speaking presentation prior to the parade, as it was noted that the busiest times were before and after the parade. City Planner Anderson confirmed that staff had access to the bingo tent for a speaking presentation prior to the parade the previous year as bingo does not begin until after the parade and believed that would be available as an option again. Council Liaison LeTourneau suggested that if a big name, like Belinda Jensen, is obtained that the main stage should be used rather than the bingo tent. He also questioned the subject of the speech. Board Member Prendergast asked for a list of previous vendors and noted that the Subcommittee could add potential vendors as those ideas arise. She noted that the Subcommittee would also like to focus on health conscious businesses, such as the bike shop and Allina.
