Board Member Valentine referenced the list of contacts that the Subcommittee is <br />working to develop and noted that at the last Subcommittee meeting there was a <br />question regarding a protocol for reaching out to those contacts. <br />Board Member Prendergast stated that she personally would not call any outside <br />contact without the authorization of City Planner Anderson. <br />Board Member Lewis noted that the list is not complete and believed the discussion <br />should be tabled until that list is complete. <br />Chairperson Max believed that a protocol would be beneficial as different Board <br />Members have different communications styles. <br />City Planner Anderson clarified that his belief was that the Subcommittee was simply <br />compiling the list and noted that a scope of work and a reason for the call would need <br />to be known. He believed that an understanding should be known why a Board <br />Member is reaching out to an outside person prior to calls being made. <br />• Environmental Expo Subcommittee: Board Member Prendergast stated that this <br />Subcommittee met and reported that Board Member Hiatt reached out and tentatively <br />confirmed that Belinda Jensen would be available as a keynote speaker. She stated <br />that the first question was whether there would be a budget available. She advised <br />that the station would like the Subcommittee to come back to them with that <br />information and they would verify the fall event schedule. <br />City Planner Anderson confirmed that there is a budget for the expo, a portion of <br />which could be used for a speaker. He stated that he thinks it would be more <br />appropriate to find out what the potential cost of the speaker would be. <br />Board Member Bentz noted that if a big name is added for speaking there could be <br />sponsorship opportunities. <br />Board Member Prendergast stated that the Subcommittee discussed holding the <br />speaking presentation prior to the parade, as it was noted that the busiest times were <br />before and after the parade. <br />City Planner Anderson confirmed that staff had access to the bingo tent for a speaking <br />presentation prior to the parade the previous year as bingo does not begin until after <br />the parade and believed that would be available as an option again. <br />Council Liaison LeTourneau suggested that if a big name, like Belinda Jensen, is <br />obtained that the main stage should be used rather than the bingo tent. He also <br />questioned the subject of the speech. <br />Board Member Prendergast asked for a list of previous vendors and noted that the <br />Subcommittee could add potential vendors as those ideas arise. She noted that the <br />Subcommittee would also like to focus on health conscious businesses, such as the <br />bike shop and Allina. She referenced the idea of the recycled art competition that was <br />Environmental Policy Board / March 3, 2014 <br />Page 6 of 8 <br />
