REQUEST FOR BUDGET AHENDHENT b~- I:ike Auspos November 19, 1992 I was notified by ~ary Gomez of a discrepancy in the billing from the State of Hinnesota for CJDN Operations Charges. In checking this out I ~ound that a chain of errors has caused a billing for less than what should have occurred in 1992 and this also creates a shortfall in the 1993 budgeted amount in this account, the 1192 ~und. About t%;o years ago when the police department connected the TI terminals that were surplus from administration and also connected a surplus PC to the State network we noti~ied the State that we would have six (6) devices hooked up. At this time the charge was $3~ per device. In July of 1992 that charge increased to $4~ per device. We have confirmed with the State that they were notified by us of the six devices going on line. Apparently the main computer room at the State did connect our devices into .the system but failed to tell the finance dept. at the State. They have only billed us for three devices since that time. I failed to notice a problem with the billing and okayed them as they came in per quarter. When Hary noticed the problem the errors came to light. This is, largely, my error. We have talked to the State and they will not be going back on the billing records to make any changes. The last quarter billing however will be for six devices at $40 per month each. This amounts to $72~ for the quarter. I had budgeted only $96~ for the year and we were being billed $36~ per quarter for the first three quarters. The total of three quarters at $36~ plus $720 for the last quarter is $1,8~0. Hinus the $960 budgeted there is a shortfall in the 1992 budget of $84~. For 1993 I again mistakenly budgeted $96~. At a rate of $72~ per quarter for the six devices the actual cost will be $2,880. This means the 1993 budgeted amount is $1,920 short. These terminal hookups are very important to our daily functions in that they provide access to all the State motor vehicle and driver's license records, State criminal history records, National D/L and registration records and State and National telecommunications. As to funding sources for making up this shortfall I'm afraid that I am not very knowledgeable in this area other than to state that this late in the year I have no line items that I could subtract from. For 1992 perhaps if there is a balance in the entire PD budget the $840 can come from that. If the unspent 1992 PD budget is larger than the 1993 shortfall could.be made up by that also. The total amount here is $2~ 760 for 1992 and 1993. 4 Perhaps General Fund Reserve?
