CASE #3

TYPEWRITER PURCHASE FOR POLICE DEPARTMENT
By: Mike Auspos, Police Chief

Background:

During the budget process for 1993, a new typewriter for the Police Department was approved for
a purchase price of $533.00. This is to replace the one Arlene Stafford uses since that machine is
frequently breaking down and she does 90% of all report transcriptions for the officers.

Observations:

Todd Madden, from Business Machines Sales and Service in Minneapolis, has proposed to sell us
an IBM Wheelwriter 2 at a price of $495 less $50 for the IBM Selectric. Sales tax would be
additional. Six hundred fifty dollars was budgeted for this purchase. For 1993, the maintenance
contract cost for this machine would be $43.47 (pro-rated from the $58 fee since there is a 90 day
warranty).

Colleen Rybak in Administrative Services is using this type of machine and she tells me it works
out very well for her. The City has dealt with this company before and carries the maintenance
contracts on Administrative Services' typewriters with them.

I have called for price quotes from: Calc-Type in Minneapolis ($525 and $50 trade-in) and MTI
Office Systems in Bloomington ($556 and $100 trade-in depending on condition l when they see
it, that will likely drop to $50}).

Staff Recommendation:

Approve purchase of IBM Wheelwriter 2 from Business Machines Sales and Service at a price of
$445 and $28.93 sales tax for a total of $473.93.

Committee Action:

Motion to recommend approval of purchase of IBM Wheelwriter 2 from Business Machines Sales
and Service at a price of $445 and $28.93 sales tax for a total of $473.93.

Reviewed by:
Police Chief

FC:03/23/93
/ccr
