I <br />I <br />I <br /> <br /> I <br /> <br /> I <br /> I <br /> I <br /> I <br /> I <br /> I <br />I <br /> I <br />!1 <br /> I <br />I <br /> I <br /> I <br /> <br />Introduction: <br /> <br />Curry & Associates respectfully submit this proposal to assist the City of <br />Ramsay in the selection, acquisition and installation of word processing <br />equipment end the associated software programs necessary to efficiently end <br />effectively meet the City's requirements. <br /> <br />The following sections of this document outline the scope of the project, the <br />work plan and the general terms and conditions. Included is a proposed task <br />schedule and an estimate of the cost of the project. <br /> <br />It is our proposal that the effort be divided into four phases: Project Plan- <br />ning and Organization, Data Collection and Analysis, Definition of Require- <br />ments, and Implementation. <br /> <br />Upon initiation of the first phase, we recommend that the City establish a <br />ProJect Team comprised of elected .officials, sta? department managers and <br />non-supervisory employees. The ProJect Team will develop the goals and objec- <br />tives of this plan, review end respond to the consultants as work progresses, <br />ensuring that the direction of the work effort fulfills the City's expecta- <br />tions. They will also review and ~ecommend for approval all final products of <br />the project. <br /> <br />During the Data Collection and Analysis Phase, information related to the <br />City's current operations will be gathered through staff interviews. The data <br />will then be catalogued end charted to show work flow, current-and projected <br />volumes of activity, reporting format requirements, and costs. A survey of <br />the organizational environment will be conducted to determine -training .re- <br />quirements and other human factors affecting implementation of an automated <br />system. Information collected will be presented in a preliminary status re- <br />port to the City Council. <br /> <br />The Requirements Definition Phase will define general requirements the system <br />must perform based upon the objectives and priorities identified by the Proj- <br />ect Team end staff interviews. The consultants will research software and <br />hardware available on the market, prepare cost end benefit analysis, and es- <br />tablish organization end training requirements necessary to implement the <br />automated system. The product of this phase is s final report to the City <br /> <br />-1- <br /> <br /> <br />
