The added services, especially Facility Reservation, is expected to enhance citizen's utilizing City amenities <br /> and save time for both citizens and staff. Making the calendars viewable online is expected to reduce call <br /> volume and make the reservation process more efficient. While speaking with our staff we were able to <br /> estimate approximately 25 to 35 hours are spent scheduling meeting rooms and park amenities on average. <br /> Much of this time is spent taking/returning phone calls, data entry, and bookkeeping. That's an estimated $603 <br /> to $842 each week spent on scheduling. With the proposed Facility Reservation software this number would <br /> likely drop substantially, and these resources could be redeployed to other/additional tasks. <br /> Summary <br /> The goal of the proposed website project is to enhance the City's online communication with citizens, an <br /> initiative in the City's strategic plan. Talks with some citizens and staff yielded a list of frustrations with the <br /> current site, as well as features that some would like to see online. The most requested feature being Facility <br /> Reservation. <br /> By consolidating existing services into the website project we can offset the cost of the initial purchase and <br /> ongoing maintenance costs. The end result being that we are providing more online services to residents, <br /> enhancing an avenue of communication, and streamlining some services to save time for residents and staff. <br /> Through consolidating we should be able to achieve this without a significant increase in ongoing costs if we <br /> select an online hosted solution. <br /> Staff would like to recommend moving forward to select a vendor that would assist with the planning, <br /> redesign, and also, host the final product. <br /> 3 <br />
