Case #16: Request AuthoriZation to :Utilize Council Contingency Funds to Purchase and Install Workstations and Flat Files at City Hall Assistant City Administrator NelsOn explained dUe to the addition of several positions that will office out of City Hall, staff has solicited a prOPosal from Intereum, Inc. for additional work stations for the Human Resources Techniciani Engineering Technician and an additional position in Finance. The proposed funding is from the Council Contingency Fund in an amount not to exceed $15,500. The proposal includes the addition of four fully equipped workstations and three additional fiat files for Engineering fori storage of plans. With these additional workstations, they will be at full capacity and very'tight on the main floor of City Hall. Councilmember Cook asked if equipment and mat~erials that are needed for the current City Hall site would be able to be used if and when there is'a new City Hall site. Assistant City Administrator Nelson replied what is being ordered at the present time is needed. Whether all of the equipment would be brought to a potentially new facility remains to be seen. Councilmember Cook questioned if this is equipment that is depreciated and would have some value remaining at the time of a move. Assistant City Administrator Nelson responded in the affirmative. She explained the firm the City works with works with them; to take their c~urrent product to another user, so there is an opportunity to recoup the costs, unfortunately theY are in a position where they need a solution for two years. Councihnember Kurak asked what !he balance is in the Council Contingency fund at this time. Assistant City Administrator Nelson replied C ~urrently there is a balance of approximately $54,000. Finance Officer Lund ~felt comfortable with this expense given the balance in the Council Contingency fund. Councihnember Elvig asked if these expenses were anticipated with the hiring of the employees. Assistant City Administrator Nelson replied the Human Resources Technician was planned for in the 2005 budget, and they generally budget for the workstation and those kinds of expenses with the position. The Engineering Technician position was added mid-year around the Town Center Development, and they knew they would get by for the summer with the technician being in the field. Motion by Councilmember Cook, seconded by Councilmember Pearson, to approve Resolution #04-11-341, Authorizing the use of CoUncil Contingency funds in an amount not to exceed $15,500 for the purchase and installation of workstations and flat files at City Hall. Motion carried. Voting Yes: Mayor Gamec, councilmembers Cook, Pearson, Elvig, Kurak, and Strommen. Voting No: None. Absent: CouncilmemberZimmerman. CitY council/NoV;ember 9, 2004 :page 28 of 31
