Mr. Burns reviewed the proposed cost for creating, hosting and maintaining the City's website <br />and the costs for the GovDelivery system. He explained that typically after the startup fee there is <br />not much in the way of add-on costs other than the monthly charge. The initial start-up fee would <br />include converting 50 documents or no more than 1,500 pages to on-line format and then <br />GovDocs will train designated staff to do those conversions in the future. <br /> <br />Councilmember Hendriksen inquired if the documents that GovDocs converted would be retyped <br />or would they be scanned. <br /> <br />Mr. Burns replied that some items are scanned, some are reformatted. <br /> <br />Councilmember Hendriksen inquired if there was any limitation in terms of bandwidth or volume <br />of documents. <br /> <br />Mr. Burns replied that there would be no limit on either of those items for the City of Ramsey. <br />He explained that the GovDelivery System is setup to handle up to 100,000 e-mails and they are <br />currently less than 50 percent capacity. <br /> <br />Councilmember Hendriksen inquired if the City would be charged if they reach certain thresholds. <br /> <br />Mr. Burns replied no, explaining that they make an estimate on what the usage will be at that cost <br />and it is included in the monthly fee. <br /> <br />Councilmember Kurak inquired as to what precautions are in place to prevent server downtime or <br />to insure information retention. <br /> <br />Mr. Burns explained that they back-up everything once a day and the back-up tapes are taken off <br />the site and there is 24/7 security on the site. <br /> <br />Councilmember Kurak inquired as to how long the proposed prices were good for and what type <br />of notice would be given before there is a price increase. <br /> <br />Mr. Burns replied that what was presented to the Council was a proposal rather than a contract <br />and in the contract the City could agree to a multiple year contract where the rates would be <br />locked in or the contract could include a maximum price increase figure. <br /> <br />Consensus of the Council was to discuss the issue further at a Council work session. <br /> <br />2) Town Center Task Force <br /> <br />City Administrator Norman recommended that a Town Center Task Force be created that would <br />include residents, local business interests, as well as members from EDA, and the Planning <br />Commission. <br /> <br />Councilmember Anderson inquired as to what the main objective would be for the group. <br /> <br />City Council/February 11, 2002 <br /> Page 2 of 5 <br /> <br /> <br />
