CITY COUNCIL WORK SESSION I
Topic: 2005 Holiday Party
By: Sylvia Frolik, Asst. Community Development Director
I Ieidi Nelson, Asst. City Administrator

Background:

City Stairis planning for the 2005 Holiday Party. In the past we have had our gathering at locations
that did not involve any room fees, most recently Northfork Clubhouse. However, this winter
Northlbrk will be remodeling the clubhouse and the room will not be available. Additionally, we
have kept costs for the holiday party at a minimum by obtaining our food items fi.om Costco and
Council and Department Head donations. These factors have allowed us to keep the costs to a
minimum and not require charging employees to attend. This continues to be our goal.

Since thc Northlbrk room is not available, we have been soliciting prices for party rooms. Renting
a room brings with it health codes and corporate policies that prevent us fi.om bringing in our own
tbod lo keep pm'ty costs to a minimum.

In researching availability of rooms, caterers and fees, we have found that the January rates are
much more affordable than the December rates. It is very common for companies to have their
holiday pmaies in January. In addition to cost savings, it tkee's up an already busy holiday schedule
R)r their employees . All of the Department Heads have responded favorably to considering a
Janumy date for the holiday party.

Action Statement:

City Stall' is sccldng input and direction fi'om City Council regarding a date for the Annual Holiday
Party.

CCWS: 10/25/05
