years that there is no financial reason not to update the <br />clerical tools used in the City offices today. Further, every <br />effort should be made to utilize equipment and software that is <br />compatible with the offices of the City's Engineer and the City's <br />Attorney since considerable indirect clerical support is received <br />from these two offices. <br /> <br />Minor architectural modifications should be made to the Ramsey <br />Municipal Center to accommodate a reception area where persons <br />needing service can be helped or directed to the proper person to <br />provide the service needed. The suggestion is that the west half <br />of the "counter area" be removed and replaced with sliding glass <br />doors similar to the doors that separate the Council Chambers <br />from the foyer. The west end of the office work area could then <br />be developed into a reception area with chairs and a reception <br />desk. <br /> <br />Every effort must be made to create a central filing system that <br />will properly archive the records and information ~hich is <br />required by law and provide an efficient and functional means of <br />retrieving information. <br /> <br />RAMIFICATIONS OF FAILURE TO RESPOND <br /> <br />These recommendations could go without response with the <br />exception of the central filing system, but the cost of not <br />improving current inefficiency must be recognized by the Council <br />as being far greater than responding to the recommendation.
