<br />painting the existing Herman Miller office files as well as the existing Herman Miller furniture <br />buy-back offer from Intereum. <br /> <br />Assistant City Administrator Nelson indicated the cost to purchase all new Systems Furniture is <br />$364,000. This cost does not include conference seating and reception furniture. There are <br />options to consider. One option would be to sell the existing furniture back to the furniture <br />dealer; the buy-back amount would be $9,000 for the systems product and the pedestals/files. <br />Another option would be to paint the files and re-use them. The new product cost is $25,320, <br />and the cost to repaint is $17,515. The savings to repaint versus purchasing all new files would <br />be $7,805. <br /> <br />Mayor Pro Tern Elvig questioned the reason for getting rid of all of the old systems equipment, <br />as it is top of the line and should be pluggable to the new equipment. <br /> <br />Assistant City Administrator Nelson replied the old equipment is light gray, which is not the <br />color theme in the new building. The fabric on the existing furniture is a gray hobnail, and is no <br />longer available. <br /> <br />Mayor Pro Tern Elvig directed staff to provide figures on retrofitting the old furniture. <br /> <br />Assistant City Administrator Nelson indicated she will obtain information on the cost to re-fabric <br />the existing furniture, keeping the gray paint color, rather than repainting. <br /> <br />Councilmember Jeffrey requested information also be provided on the cost of the ancillary <br />furniture package. <br /> <br />Assistant City Administrator Nelson indicated staff met with BKV this afternoon regarding the <br />ancillary furniture. She inquired what level of involvement the Council would like to have <br />regarding the selection process. <br /> <br />The consensus of the Council was to direct Assistant City Administrator to complete the <br />selection process regarding the ancillary furniture without Council input. <br /> <br />City Administrator Norman informed the Council the furniture he selected for his office will be <br />different than the other furniture in the building. It will be traditional wood furniture with club <br />seating, rather than a table with chairs. <br /> <br />Assistant City Administrator Nelson reported there was a significant break-in at the Municipal <br />Center site over the weekend. The individuals were apprehended by the Police Department with <br />their car full of copper tubing, wires and pumps. She stated this has become an ongoing problem <br />at the site. 3D/I has recommended hiring overnight security in the form of Avalon or Wolf <br />Protection Agency. The cost for this security until the building is secured is estimated at <br />approximately $5,000 per month for the hours of 9:00 p.m. to 6:00 a.m. It will be approximately <br />one month until the building can be completely closed up. The costs would be attributed to the <br />general conditions portion of the budget. She noted if individuals were to get into the building <br />and wreak havoc it would throw the schedule off and would cost much more than $5,000. <br /> <br />City Council Work Session / May 2, 2006 <br />Page 8 of 10 <br />
