The Finance Department has been trained in payroll, accounts payable, general ledger and soon
cash receipting/accounts receivable. It is anticipated that we will prepare the next payroll on the
new system. We have been inputting payroll after-the-fact since the end of September so that we
were sure the correct processes were taking place and so that we had a clean quarterly cut-off.
We would like to try and run the next accounts payable batch parallel on the new system.

It is planned that all systems will be operational and running by the end of the year, with the
exception of the permit system which will be done early in 1996. While this is a bit later than I
had hoped, it has been beneficial to not rush any of the processes so that all have a good
understanding.

The last step for the Police Department computerization is the connection of their new PC's to
the existing TI990 which allows the connection to the State system. This should take place
within the next two weeks as it requires coordination with MASYS and our computer
consultants. All security measures have been taken to guarantee that information that should be
accessed by only police personnel will indeed only be accessible by them through only the
machines located in the Police Department.

We are still monitoring the budget closely and anticipate the addition of one more PC for the
permits module and a laptop for the Police Department prior to year-end.

Sale of Sm:plus Property

Recently the City Council authorized the sale of surplus property. We recently advertised and
opened bids on the surplus vehicles that we had due to replacement and rotations of the fleet.
We had placed minimum bids on the vehicles and based on the minimums should have
recognized sale proceeds of $5,500.00. We received at least two bids on each vehicle and all
bids received were at or above the established minimum values. After the bids were opened and
tallied, we realized proceeds of $8,109.77 which is approximately $2,600.00 more than
anticipated. The proceeds will be placed in the Equipment Replacement Fund.
