Sergeant Tim Dwyer . <br /> <br />Background: <br /> <br />With budget cuts in the 2003 capital outlay for remodeling, the police dePartment has examined alternatives <br />to meet our space and equipment needs for the year 2003. There will be movement of personnel into <br />existing office space, including office sharing and utilization of open space. Tlzis will reduce the need to <br />remodel during.2003 and will be much more cost effective. This movement will require the replacement of <br />and additional purchase of some existing office furniture and computer hardWare. The current budget does <br />not allow this. The police department is requesting authorization to make these purchases utilizing funding <br />currently capitalized in the equipment replacement fund under office furniture and computer hardware. <br /> <br />The police department needs to replace 6 old metal file cabinets with new space saving file cabinets and <br />work station accessories, and purchase some counter top surfaces to match existing furniture. More tables <br />and chairs are needed for the training room and re-worked office sPaces. There is sufficient money in the <br />equipment replacement fund under furniture and office equipment to cover these expenses. <br /> <br />The police department also needs to replace some computer equipment and purchase some additional <br />hardware to accomplish the office reorganization. Two computer workstations, including monitors and <br />printers would be required, in addition to the necessary software and accessories. There is sufficient money <br />in the police department computer and hardware capital account and the equipment replacement fund to <br />cover these expenses. <br /> <br />Recommendation: <br /> <br />Staff recommends committee review of this request and motion to adopt Resolution # 02-11-XXX, <br />authorizing the purchase of replacement and additional office and computer hardware from the equipment <br />replacement fund, not to exceed a total orS 3,987.00. Additional funding for computer hardware would <br />come from remaining $1,729.00 in the capital computer hardware and software account. Staff agrees that <br />this would accommodate 2003 police department office needs. Office furnishings would be purchased <br />through Worksite Inc. and ATD-American. Computer hardware would be purchased Primarily through~ <br />Logis, with monitors and miscellaneous items coming from the vendor who offers the best pr/ce. <br /> <br />Council Action: <br /> <br />Motion by City Council to adopt Resolution # 02-11-XXX, authorizing the purchase of office and computer <br />equipment from said vendors, utilizing money from the equipment replacement fund and the capital <br />computer hardware police account, not to exceed a grand total of $ 5,716.00. <br /> <br />Reviewed by: <br />City Administrator Jim Norman <br />Finance Officer Diana Lund <br />Acting Chief Jim Way <br /> <br />-119- <br /> <br /> <br />
